What it costs, what is included, and how billing works.
Rates start at $3/hour and are set by experience level rather than by task. The Essential tier covers routine, well-defined work, Professional covers a specialist who owns a function end to end, and Expert adds senior skill with strategy sessions. Monthly bundles run from 40 to 160 hours, so a full-time equivalent engagement starts around $480/month.
Everything except the work you have not asked for. The rate covers the specialist's hours, pre-vetting, industry briefing before they start, a dedicated account manager, weekly check-ins, monthly reviews, your Operations Vault, and free replacement if the match does not work.
No. There is no placement fee, no setup charge, and no recruiting commission. You pay the hourly rate for the hours in your bundle, and that is the whole invoice.
Yes, and it takes 10% off. Quarterly billing is optional and the monthly option stays available at the standard rate if you would rather not commit the cash up front.
Location, not quality, is what moves the number. A US employee costs salary plus payroll taxes, benefits, equipment, software seats, and the recruiting spend to find them. Hiring through a global talent pool removes the payroll overhead while the work itself stays the same.
Tell your account manager and they adjust the bundle. Most clients start at the lower end of a tier and move up once they see what their specialist can absorb, which is usually more than they expected in month one.
How placement works and what your first week looks like.
Five business days from the kickoff call to your specialist starting work. That window covers matching against our pre-vetted bench, briefing the specialist on your business and tools, and scheduling the handover call. We do not place someone faster by skipping the briefing.
Only if you want to. Most clients skip it, because the vetting and the industry briefing have already happened by the time we propose a match. If you would rather meet the person first, your account manager will set up the call.
One 30-minute kickoff call to align on tasks and tools, and that is it. We brief every specialist on your business before they start. They come prepared, not blank.
Day one is access, tools, and context. Day two the specialist shadows you and takes a first small task. Days three and four they work alongside you and start writing the SOPs that become your Operations Vault. By day five they are running the agreed tasks and you are reviewing rather than directing.
Start with what repeats. Inbox triage, calendar management, data entry, order processing, and first-line customer replies are the usual four, because they consume hours, follow rules you can write down, and do not need your judgment on every instance.
Yes, and most clients who do it split by function rather than by hours. One person owning customer support and another owning back-office operations works better than two people half-owning both, because ownership is what makes delegation stick.
Hours, communication, tools, and managing the day to day.
Your hours. We match on timezone during placement, so a business needing live phone coverage in US Eastern gets someone who can genuinely work that window rather than someone stretching into the night. Overlap requirements are part of the brief before anyone is matched.
Through whatever you already use. Slack, email, WhatsApp, Teams, or your project tool. Your specialist joins your existing channels rather than adding a portal for you to check.
Most of the common stack: Google Workspace and Microsoft 365, Shopify, HubSpot, Salesforce, QuickBooks and Xero, Notion and Asana, Zendesk and Intercom. Tool fluency is part of matching, so if your stack has something unusual in it, say so before placement rather than after.
You direct the work, your account manager handles the relationship. That split matters: you decide priorities and review output, while performance management, check-ins, and any replacement logistics sit with us.
A private documented record of every SOP, workflow, tool credential structure, and recurring process your specialist builds for your business. Two reasons it matters: if your specialist ever needs to be replaced, the next person inherits everything and is productive in week one, and your operational knowledge belongs to you rather than to one person who could leave.
Tell your account manager and cover is arranged from the same bench. The Operations Vault is what makes this workable, because the person covering reads the documented process instead of asking you to explain it again.
What specialists can take on and who we place for.
More than inbox and calendar. Across our clients specialists run customer support queues, e-commerce order and catalog operations, CRM hygiene and lead follow-up, bookkeeping admin, marketing execution, content production, and back-office process work. The tier you choose decides how much judgment the role carries.
Pre-vetted talent benches for e-commerce, real estate, law, medical practices, and marketing agencies. Each specialist is matched to industry-specific experience, not generic admin skills.
We work with pre-vetted talent in five regions: the United States, Latin America, Eastern Europe, India, and the Philippines. We match each specialist to your role, your timezone, and your industry. A real estate agent needing live lead follow-up usually gets a Latin America-based specialist. An e-commerce brand needing customer service usually gets a Philippines-based specialist. The geography fits the work, not the other way around.
Yes. Software development and content creation are both placed roles, covering site maintenance, feature work, technical backlog, writing, editing, and video production. The placement process and the management wrapper are identical.
It is the common case rather than the exception. Most clients arrive as a founder or a small team at the point where admin is eating the week, and start by handing over one function rather than scattered tasks.
Larger agencies operate as marketplaces or scaled service models. They match fast, often have lower price points, and serve thousands of clients with shared account management. We are built deliberately small. Your account manager knows your business and your specialist personally, specialists are briefed on your industry before placement, and the Operations Vault survives any specialist swap.
Access, confidentiality, and handling sensitive information.
Every specialist signs a confidentiality agreement before they are given any access. Beyond the paperwork, the practical control is access scope: specialists get role-based access to the specific tools they need rather than blanket credentials, and your account manager reviews that scope during onboarding.
In regulated settings, yes, with the right controls in place first. For medical practices we provide a standard Business Associate Agreement aligned with HIPAA requirements, or you can use your own, and it is signed before any access is granted. Law firms typically scope specialists to non-substantive work.
No, and you should not. Use a password manager with shared vaults, or add your specialist as a user in each tool with their own login. Both give you per-person access you can revoke in seconds, which a shared password does not.
Access is revoked and your Operations Vault stays yours. The documentation your specialist built is the deliverable you keep, which is the point of building it as an asset rather than leaving it in one person's head.
Replacement, contracts, and cancelling.
We replace them. If it is not working for any reason, whether skills, communication, or personality, we find a replacement within 5 to 7 business days at no extra cost. The new specialist comes briefed on your business and inherits your Operations Vault before they start, so they are productive in week one.
Because the only way to promise 24-hour replacement is to keep a large pool of specialists on standby, often unpaid while waiting. That is not a model we are willing to run. When we replace, we take 5 to 7 days to source the right match and brief them properly. You wait a few extra days and get someone who is productive when they arrive.
Month-to-month after the first 30 days. No long-term contract and no notice period. Most clients stay because the work is good, not because they are locked in.
Give notice before the next billing cycle and the engagement ends at the end of the period you have paid for. There is no cancellation fee and no clawback of the placement.
Independent contractors managed through Hyperstaff. You direct the work. We handle the employment relationship, performance management, and replacement logistics.
